Why a client or guide isn't getting emails

Fishing Outfitter holds booking, document, and payment emails until a person can actually sign in, so nothing reaches an inbox with links they can't use. Here's how to tell, and how to fix it.

Every link in our emails opens your portal or the guide app. If someone can't sign in yet, those links are dead ends, so Fishing Outfitter holds their system emails until they can. Nothing is lost: the notifications are saved, and they see the full history the first time they sign in.

Clients

  • Never invited: booking confirmations, document notices, and payment reminders are held. The client's page shows a "Not invited to the portal — emails to [name] are held" banner.
  • Invited but hasn't opened the portal yet: still held. The banner says the invite is pending and when it was sent.
  • Opened the portal once: emails flow normally from then on.
  1. Open the client's page (or find them in the Clients list).
  2. Click Invite to Portal. If you've already invited them, the button says Resend Invite.
  3. Ask them to open the email and click the link. It works for 7 days, and they can use it more than once.

An angler who books and pays a deposit on your public booking page always gets their booking confirmation right away. Later reminders wait until they've opened the portal, like everyone else.

Guides and cooks

Someone added to your roster with Add Guide, or brought in with Import, gets no system emails (availability requests, trip reminders, task assignments) until they've been invited and signed in once. They show as "Invite pending" on your roster. Open their page and click Invite to Portal to send them a login.

Never held

Invitations themselves, sign-in and password emails, and messages you write yourself (broadcasts and replies) always send. Holding an invitation would mean nobody could ever get in.

If an email to a client bounced permanently (for example a typo in their address), we stop emailing that address. Correct the email on their client profile, which clears the block, and invite them again.
