Trip policies: set them once, customize per trip

Write What's Included, Cancellation Policy, and Gratuity Guidance once — every trip type inherits them.

Four blocks of text travel with every trip you sell: What's Included, Not Included, Cancellation Policy, and Gratuity Guidance. Most outfits use the same text on nearly every trip — so instead of pasting it into each trip type, write it once as an organization default and let trip types inherit it.

Edit the defaults in one place

  1. Go to Trip Types and expand the Policies & What's Included — organization defaults card at the top.
  2. Fill in the four fields — What's Included and Not Included work well as one item per line.
  3. Save. The text applies immediately to every trip type that hasn't customized its own.

How trip types inherit

A new trip type starts fully inheriting: each policy field on its form shows a read-only preview of the organization default. Choose Customize for this trip to give one trip its own text — the field opens seeded with the default so you edit rather than retype. Customized text stays put even when the defaults change; Use organization default flips the field back to inheriting.

Each field is one of three things: inheriting the organization default, carrying its own text, or — if you customize and then clear it — deliberately blank, which hides that section for that trip entirely.

Where clients see it

The resolved text — the trip's own if customized, otherwise the organization default — appears in the client portal and the Trip Packet. Change a default and every inheriting trip updates everywhere at once; that's the point.

Meeting points work the same way but inherit from the water rather than the organization — see the waters article.
