Google Contacts sync: caller ID for your clients

Connect your own Google account and your outfit's clients and leads stay in your phone automatically.

Google Contacts sync is the automatic version of the phone-contact export. Connect your own Google account once and your outfit's clients and leads land in a “Fishing Outfitter — your outfit” contact group inside that account, so an incoming call shows a name instead of a number and keeps showing the right one as your list changes.

Connecting

Open My Account and find the Google Contacts sync card. A connection is one person's, in one outfit — the Connect button names the outfit you are signed into, so an admin who works across more than one can see which they are connecting before they do. Each owner or admin connects their own Google account; no one else's address book is touched.

Who gets synced

• Clients with a booking in your outfit who haven't been archived — the same people the phone-contact export covers.
• Leads, except the ones marked Spam, Lost, or Unresponsive.
• A lead you have converted to a client is one contact, not two.
• Known minors are left out.

What gets synced

Name, phone number, email, and an organization label reading “Fishing Outfitter · your outfit”. Nothing else from a client's profile ever reaches an address book — no trip history, no payments, no documents. A client with no email address of their own syncs without one rather than carrying the placeholder address the app files them under, and a phone number the app cannot read is left off rather than written through as typed.

How often it updates

Once an hour on its own, plus a Sync now button on the card for when you don't want to wait. It runs one way — Fishing Outfitter to Google, never back — and an update rewrites the synced fields whole, so a second number added to a synced contact by hand is replaced the next time that client changes here. Extra numbers belong on a separate contact.

An edit here updates the contact there, and anyone who leaves the list above — a client you archive, a lead that goes Spam, Lost, or Unresponsive — is removed. Only contacts Fishing Outfitter created are ever changed or deleted; anything you saved yourself is left alone.

Disconnecting

Disconnecting stops the writes and keeps what is already there: the contacts stay in your Google account, they just stop updating. Reconnect later and the sync adopts the same group instead of duplicating it, recognising up to 2,000 contacts it created there.
